How to describe freight to find a vehicle faster

A clear listing helps carriers assess whether their vehicle fits before calling. Start with the facts that determine vehicle choice, then add detail in the description.

Route and time window

Specify countries and cities at both ends. A city name without a country can be ambiguous on international routes. If loading can take place over several days, use a date range. Agree the exact address, site access and time slot with the company representative.

Weight, volume and cargo units

Weight, volume and dimensions answer different questions. Freight may be light but long, or compact but heavy. Give actual dimensions including packaging. For multiple items, describe each size, quantity and whether stacking is allowed.

  • Weight: tonnes, including packaging.
  • Length, width and height: metres.
  • Pallets: quantity, with the format in the description.

How loading will take place

Choose rear, side or top loading to match the actual process. State separately whether a tail lift or crane is needed. A vehicle with enough volume may still have an unsuitable door opening or equipment.

An example of a clear description

“Packaging materials on 10 pallets. Total weight 4.5 t. Height including pallet 1.8 m; no stacking. Rear loading from a warehouse. A closed, dry body is required. Lviv to Warsaw; exact loading date to be agreed within the stated period.” This is an illustrative structure, not a real listing.

Price and keeping listings current

If you know the amount, specify the currency and whether it is per trip, tonne or kilometre. Otherwise leave it empty. Update your listing when the route or conditions change, and withdraw it when it is no longer needed.
